Young Gemynds International School, a growing network of educational institutions, faced a common scaling hurdle: fragmented financial data. As they expanded across multiple locations, the lack of a unified digital interface began to hinder transparency and slow down critical decision-making.

The Challenge: Fragmented Financial OversightManaging the finances of a multi-branch school network requires more than just spreadsheets; it requires a cohesive user experience that bridges the gap between local branch operations and executive oversight.The core friction points included:

• Role-Based Information Architecture: We mapped out distinct user journeys for Directors (oversight/approvals) and Administrators (data entry/operations) to ensure everyone saw exactly what they needed—nothing more, nothing less.
• The "Zero-Error" Entry System: We designed a specialized interface for backdated entries that utilized real-time validation to prevent ledger mismatches.
• Human-Centric Approvals: Instead of buryng requests in menus, we created a notification-driven approval workflow that allows directors to authorize transfers with a single click from any device.
